About the Role
As a CBRE Receptionist & Admin Assistant, you will provide administrative support to a department or office. Your duties include greeting visitors, answering calls, setting up meeting rooms, and completing other office tasks.
This job is part of the Workplace Experience function. The team provides world-class customer service to clients and visitors of a designated building.
What You’ll Do
- Receive and direct incoming calls to the right personnel and voicemail.
- Greet and announce clients, applicants, and visitors. Follow security procedures for guests, suppliers, and other visitors. Arrange escorts when needed. Issue visitor passes and validate parking.
- Help schedule and prepare meeting and conference rooms. Coordinate room setup. Reserve projectors and other meeting equipment. Make sure the equipment works properly. Arrange video and web conferences when needed.
- Coordinate catering for meetings and events. You may discuss prices and menus. Get approval for catering costs. Review invoices and arrange billing for the right department or business unit.
- Perform general clerical duties for office faxes, packages, and mail. Use tracking systems for incoming and outgoing courier, freight, and mail. Meter mail and arrange messenger services when needed. Follow security procedures for incoming deliveries.
- Order office supplies and other common-use items. These may include café supplies, equipment toner, printer paper, freight, and shipping supplies.
- Keep the reception area, conference rooms, café, and other common areas neat. Request building and housekeeping services when needed. Check common-area equipment from time to time. Arrange equipment service when needed.
- Keep records and logs of service requests. Track their status.
- Keep records of services such as transportation sources, accommodations, and referral contacts. You may also arrange guest services such as transportation, tickets, and reservations.
- Perform other duties as assigned.
What You’ll Need
Communication Skills

Financial Knowledge
